We are seeking a Grant Development Project Manager for a 2-year-regular position (renewable) to work within the Grant Development Program Management Department at the International Vaccine Institute in Seoul, Korea. (Duty station: Seoul, Korea)
Job Description
The incumbent of this position is responsible for developing and maintaining a system to support the generation of high-quality and strategically aligned grant proposals, tracking the proposal pipeline and maintaining grant documents from initiation of application to completion of awarded grants. It also supports and provides overall project management during preparation of grant proposals including resource planning, issue and risk management, development of communication planning and establishment of necessary agreements in the pre-award period. This position also develops and maintains an active and systematic process for identifying new funding opportunities and donors consistent with organizational mission.
Key Roles & Responsibilities
1. Provide project management support to teams developing grant proposals and applications including complex grants of high dollar value (>$1M), involving multiple units within IVI, and external partners.
- Convene meetings and facilitate communication and problem solving among team members including external partners.
- Support team lead on action items for proposal and ensure items are completed on a timely basis to meet submission deadline
- Contribute to writing and consolidating proposal package
- Develop initial plans for potential grants such as provisional project charter, MOU, financial and resource plans in accordance to RFPs and once awarded, transfer related documents to new project team members
- Support development of proposal and budget and obtain supporting documentation (e.g., letters of reference, institutional documents, etc.) including from external partners.
- Ensure proposal is reviewed by senior management and the Director General before submission
2. Develop and maintain a formal system for managing the grant proposal pipeline
- Develop and implement internal procedures for proper management of grant proposals from ideation and initiation to submission through final outcome (rejection or completion of awarded grants).
- Develop and maintain a proposal pipeline tracking system for proposals under development; collect data from teams on a monthly basis and update tracking sheet; disseminate to senior management to aid in financial forecasting and resource planning; Align the proposal pipeline and grant tracking system to facilitate capture of project management measures of effectiveness (PMO) to inform senior management.
- File and archive past grant applications and maintain a repository of grant templates and other resources for proposal development
3. Identify and disseminate new opportunities for funding
- Identify and screen calls for funding and RFPs to ensure that funding outputs are in line with institutional strategic mission/objectives and disseminate appropriate opportunities to senior management and teams on a rolling basis
- Conduct research and analysis of prospective funders and funding programs, including corporations, ODA and foundations; disseminate data to senior management to aid in resource mobilization planning
- Maintain and update profiles of current funders and funding programs in terms of specifications, guidelines, requirements, and procedures
- Develop internal processes to actively and systematically support identification of new funding opportunities including core funding, working together with PRC, program directors, and PMO.
- Serve as a focal point providing updated information on funding opportunities.
Job Requirements and Qualifications
1. Education Requirements
- Bachelor’s degree or equivalent
2. Related Field Work Experience
- 5+ years of demonstrated success working as grant and/or project manager in supporting writing grants in a research/academic/biomedical organization
3. Technical and Professional Skills / Knowledge
- Knowledge of nonprofit grant management
- Demonstrated success in simultaneous management of multiple grant applications and projects
- Demonstrated ability to contribute to grant writing and editing
- Demonstrated mastery of MS Office and MS Project
- Ability to interpret and apply policies and procedures
- Financial knowledge of projects, forecasting and monitoring
- PMP certification or equivalent required
4. Language Proficiency
- Fluency in English
