Job Title: Executive Assistant to the Executive Director
Department: Executive Office
Reports To: Executive Director
Status: Full-time
SUMMARY
This position serves as primary support to the Executive Director, performing a variety of highly responsible, confidential and complex administrative duties.

EDUCATION and/or EXPERIENCE
- Bachelor's degree (B.A.) from a four-year college or university
- Three to five years of senior level leadership support experience or related experience and/or training; or equivalent combination of education and experience
- Experience with Microsoft Office products and applications
- Demonstrated ability to multitask effectively and prioritize strategically
- Outstanding levels of professionalism, interpersonal skills, and adaptability to handle a high volume of urgent and confidential information
- Strong attention to detail and accuracy in work, with an ability to exercise sound judgement and demonstrate resourcefulness while managing time well
LANGUAGE SKILLS
Exemplary spoken, written, and reading communication skills in English and Korean.
TRAVEL
This position may require domestic travel for operational purposes.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
- Manages the Executive Director’s calendar, including scheduling appointments, meetings, and tracking all incoming communications, keeping it up to date to accurately reflect future appointments and historical meetings.
- Plans and coordinates external meetings with new and existing organizations and church leaders. Assist in preparing materials, reports, and presentations for meetings, and handle filing systems for all subsequent documents.
- Receives, reviews and appropriately organizes and screens all incoming correspondence to the Executive Director, and responds independently when appropriate.
- Prepares/reviews documents for Executive Director’s approval and processing as required; facilitates electronic approvals in various online systems.
- Assists the Executive Director with all aspects of travel and expense management in compliance with established procedures and guidelines.
- Prepares/maintains confidential correspondence, memoranda, reports, databases, spreadsheets, and other documents as requested by the Executive Director.
- Interacts with internal and external stakeholders professionally and respectfully.
- Provides translation and interpretation support (English to Korean and Korean to English) for the Executive Director and other executive ministry staff.
- Liaises with internal and external SP and SPK staff at all levels and facilitates appropriate contact with the Executive Director. Reserves and prepares facilities and organizes SP visitors itineraries as needed.
- Coordinates and manages research and special projects for the Executive Director as requested. This can include planning and leading external SPK promotional events as well as internal staff retreat.
- Schedules and attends weekly Director’s meetings, takes minutes and distributes meeting minutes.
- Follows all applicable SPK policies and procedures.
- Attends morning devotions regularly and participates in prayer support for the ministry, its donors and volunteers.
- Maintains a strong Christian witness to colleagues, vendors, beneficiaries, and the public.
JOB CONDITIONS
Working Hours: Monday- Friday (5 days a week) 8:00 am – 5:00 pm
Location: Seoul, Jongno-gu Jongro 47, SC Building 13th Floor (Jonggak Station)
Salary: Based on internal pay structure and applicant’s qualifications (negotiable)
