- The candidate will work with consular team to support the achievement of results in the relevant sectors and Embassy business outcomes.
- To provide consular supports for the embassy staff.
- Giving protocol assistance to the delegation at the airport and hotel when needed.
- Maintain the Protocol database of arrivals/departures of officers and their dependants.
- Provide daily assistance in translating invoice, document and other information as necessary.
- Assist in organising Embassy’s events at the Embassy, Residence and elsewhere.
- Meeting and Greeting all clients and visitors
- Answering all incoming calls and transferring or taking messages
- Setting up telephone and conference facilities
- Ensuring catering and presentational requirements are provided as necessary
- Maintaining the reception area to look smart and professional at all times
- Making travel arrangements and bookings
- Any other duties assigned and directed by the Head of Chancery / Second Secretary.
Job Requirements
Skilled and Ability :
- Must be an exceptionally discrete person who is able to maintain absolute confidentiality with regard to records and information.
- Skilled in MS Office program such as Word, Excel and other relevant program.
- Knowledge of management assistance procedures, accounting procedures and local regulations.
- Experience in working in an international environment is an asset.
- Good interpersonal skills, high-standard of work ethics
- Proactive and responsible teamwork
- Skills in solving small technical and other problems
- Skills in drawing up and monitoring schedules, rosters etc.
- Ability to provide excellent customer service and to be able to effectively communicate with individuals of all ranks and employee type.
- Ability to plan and organize.
- Ability to set prioritize.
- Ability to work multi-task
- Ability to prioritise is also essential.
- Ability to listen and check converse in English. Understanding written and spoken English is an advantage.
- Ability to work on rotation basis.
Education Requirement
- Minimum Diploma
- Relevant work experience in an administrative/financial work environment.
We offer :
- The job is being offered on Fixed Term Contract for one (1) year from 1 May 2024 till 30 April 2025 with no possibility of extension. In the event of non-performance or incompatibility in the workplace, the employer reserves the right to terminate the contract, giving a period of at least 4 weeks’ notice to the employee.
- This position is subject to a 3 month probation period.
- Working hours: working hours are 35 hours a week, from 09.00 – 17.00. When official events, visits, meetings are being held outside of these hours, flexibility by the employee will be required.
- Illness provision: if you are unable to attend for duty due to illness, you should immediately notify your line manager at the Embassy of Malaysia. All sick leave requires certification by a medical practitioner.
- Annual Leave: your annual leave entitlement is 15 days per year. Extra to this you are entitled to 17 public holidays declared by the Embassy on yearly basis.
- Confidentiality: all information which comes to your attention or is disclosed to you in the course of your work at the Embassy of Malaysia is to be regarded as confidential. The disclosure of such information to a third party will be cause for immediate dismissal.
