Org. Setting and Reporting

The mandate of the United Nations Economic and Social Commission for Asia and the Pacific (ESCAP) is to promote sustainable and inclusive development and regional connectivity in the Asian and Pacific region. ESCAP’s role as a regional development arm of the United Nations Secretariat is to support its membership with policy oriented research and analysis, normative support and technical assistance and capacity building, to respond to the development priorities and changing needs of the Asian and Pacific region.

The Asian and Pacific Training Centre for Information and Communications Technology (APCICT) was inaugurated on 16 June 2006 as a regional institute of ESCAP, and is located in Incheon, Republic of Korea. The Centre’s mission is to strengthen the efforts of the member countries of ESCAP to use ICT in their sustainable development through human and institutional capacity building. To meet this objective, APCICT’s work is focused on three inter-related pillars – Training, Advisory Services, and multi-stakeholder dialogue and partnership. Together they form an integrated approach to ICT human capacity building.

This position is located in APCICT, Incheon, Republic of Korea. The incumbent reports to the Programme Officer.

Responsibilities

Under the direct supervision of the Programme Officer, and overall supervision of the Director of APCICT, the incumbent is required to perform the following functions:

• Provides a wide range of general office support services to help ensure the smooth functioning of an organizational unit.
• Maintains official documents and communications (both paper and electronic) in accordance with the Centre’s documentation system.
• Uses standard word processing package to produce a variety of routine correspondence, reports, tables, charts, graphs, etc., in accordance with institutional standards.
• Maintains calendar/schedules; monitors change and communicates relevant information to appropriate staff inside and outside the immediate work unit.
• Reviews, records, routes and/or processes mail or other documents; gathers pertinent background material; tracks and monitors follow-up action as required.
• Receives phone calls and visitors, and responds to routine inquiries and information requests, including drafting routine written responses, or routes to appropriate personnel for handling as required.
• Maintains files (both paper and electronic) and databases for work unit.
• Updates and maintains large distribution lists; assembles documents, reports and other materials for global dissemination, where possible using electronic formats; coordinates courier services.
• Maintain office inventory. such as office supplies, publication, training materials.
• Performs a variety of administrative duties (e.g. leave recording, meeting organization, reservations, office supply and equipment orders, etc.), including preparing and/or processing administrative requests/documents (e.g. travel requests, procurements, expense claims, vouchers, visa applications, etc.).
• Provides logistic and operational support to the Centre’s trainings and workshops.
• Supports in domiciliation for new staff.
• Performs other duties as assigned.

Planning & Organizing: Develops clear goals that are consistent with agreed strategies; identifies priority activities and assignments; adjusts priorities as required; allocates appropriate amount of time and resources for completing work; foresees risks and allows for contingencies when planning; monitors and adjusts plans and actions as necessary; uses time efficiently.

Education

High school diploma or equivalent is required.

Relevant first-level university degree in combination with one year of qualifying experience may be accepted in lieu of two years of required experience.

 

Work Experience

A minimum of two years of experience in administrative and general office support or related area is required.

Experience working with Enterprise Resources (ERP) Planning systems, such as SAP or other relevant software packages is desirable.

Experience in conference support or travel services is desirable.

Languages

English and French are the working languages of the United Nations Secretariat. For the post advertised, fluency in English is required. Knowledge of Korean is desirable. Knowledge of another official United Nations language is an advantage.

Assessment

Special Notice

This post is funded from extra budgetary resources. The initial appointment is for a period of one year. Extension of appointment is subject to satisfactory performance and availability of funds.

This position is subject to local recruitment pursuant to staff rule 4.4 of the United Nations Staff Rules. All staff in the General Service and related categories shall be recruited in the country or within commuting distance of each office, irrespective of their nationality and of the length of time they may have been in the country. A staff member subject to local recruitment shall not be eligible for the allowances or benefits exclusively applicable to international recruitment.

United Nations Considerations

Candidates who have committed crimes other than minor traffic offences may not be considered for employment.
